Cape Family Medical Clinic, located in Cape Girardeau, Missouri, is a rural healthcare organization committed to improving access to quality care through innovation. As the lead organization for the Pulse Telehealth Resource Center (Pulse TRC), we provide technical assistance, education, resources, and strategic guidance to healthcare organizations and community partners across Missouri, Kansas, and Oklahoma to advance telehealth adoption and improve healthcare access.
Position Overview
The Program Support Coordinator serves as a key administrative and outreach team member supporting the daily operations and continued growth of the Pulse Telehealth Resource Center. This position is responsible for coordinating meetings, maintaining relationships with healthcare and community partners, conducting proactive outreach, assisting with travel and event logistics, and supporting grant-related activities. The role serves as an important first point of contact for prospective partners while ensuring timely follow-up, accurate documentation, and exceptional customer service. As the program grows, this individual will have the opportunity to assume primary responsibility for supporting one or more assigned states within the Pulse TRC service region. This job is not remote and is a full-time position.
Key Responsibilities
- Conduct proactive outreach to healthcare organizations, community partners, schools, libraries, public health agencies, and other stakeholders to introduce Pulse TRC services.
- Develop and maintain professional relationships with prospective and existing partners.
- Coordinate meetings, webinars, and appointments for Pulse TRC staff, including calendar management and follow-up communications.
- Serve as an initial point of contact for organizations seeking telehealth information or assistance.
- Ask introductory discovery questions to better understand an organization's telehealth needs and connect them with the appropriate Pulse TRC team member.
- Maintain accurate records of outreach activities, contacts, meetings, and follow-up actions using approved tracking systems.
- Prepare meeting summaries, correspondence, reports, and administrative documentation.
- Assist with conference planning, travel arrangements, event registration, and on-site support when needed.
- Represent Pulse TRC professionally at conferences, meetings, and community events.
- Collaborate closely with the Program Director, Communications & Outreach Coordinator, and Evaluation & Data Manager to support regional initiatives.
- Support grant activities and other administrative duties as assigned.
- Initially assist with outreach efforts in Kansas, with opportunities to assume responsibility for additional assigned states as the program expands.
Qualifications
- Associate's or Bachelor's degree preferred; equivalent education and experience considered.
- Two (2) years of experience in administrative support, customer service, healthcare, outreach, sales, or a related field preferred.
- Excellent verbal and written communication skills with a professional telephone presence.
- Strong organizational, time management, and multitasking abilities.
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) and the ability to learn CRM and project management software.
- Ability to work independently while collaborating effectively within a team.
- Willingness to travel throughout Missouri, Kansas, and Oklahoma as needed.
- Healthcare, telehealth, nonprofit, or grant-funded program experience is preferred but not required.
Work Schedule & Benefits
Monday – Thursday, 7:30 AM – 5:30 PM (4-day workweek)
